Who we are
Phoenix Rising is a private, invitation-only council for founders, speakers, and leaders, founded in May 2026 and operated by Our Phoenix Rising LLC, a Texas limited liability company. This policy explains what information we collect about members, why we collect it, where it lives, how we use it, and the choices and rights you have over it.
What we collect
When you apply for or accept membership, and as you use the platform, we collect:
- Identity and contact information you provide: your name, email address, phone number, and any social profile links you choose to share.
- Profile information you choose to provide: a headshot, a short bio, your current focus, what you can offer the room, your assistant's contact details if you have one, and similar fields you fill out in your member profile.
- Membership and participation information: your founding-member status, your role, the sessions you RSVP to and attend, and your activity inside the platform.
- Session content: audio and video recordings of council sessions you attend, transcripts derived from those recordings, and AI-generated summaries and candidate "ripple" insights drawn from those transcripts. Nothing from a recording is published publicly without the relevant speaker's individual approval.
- Communications: messages you send to us, support requests, and similar correspondence.
- Payment information: billing details processed by our third-party payment processor; we do not store full payment card numbers on our own servers.
- Technical information: standard server logs and minimal usage information needed to keep the platform working and secure.
We collect this information directly from you, from the speaker intake form you submit, and as a normal byproduct of using the platform.
How we use it
We use this information to:
- Operate the council: send session invites, run RSVPs, host the member directory, send recaps, and keep the room moving.
- Authenticate you: send magic-link login emails and keep your session active.
- Communicate with you: about sessions, council updates, the book, and your membership.
- Produce the speaker-approved "ripple" insights from recordings, only after the speaker has personally approved each item.
- Process billing for members on the paid tier.
- Improve and secure the platform.
We do not sell your personal information. We do not use member data to train external AI models. AI processing of session transcripts happens on our chosen vendor's infrastructure for the sole purpose of producing candidate insights for speaker approval.
Where your information lives (our processors)
We rely on a small set of third-party services to operate the platform. Your information may be stored by or pass through:
- Netlify, which hosts the site and the member data store.
- Notion, which hosts the canonical member profile database and our operating records.
- Kit (ConvertKit), which sends our email and holds the email-marketing audience.
- WhatsApp / Meta, which hosts the council community chat that members join voluntarily.
- A recording and transcription provider used for council sessions, to be named here once finalized.
- A payment processor (e.g., Stripe), to be named here once finalized.
Each of these services has its own privacy practices. We choose providers we believe handle data responsibly, and we limit what we share with them to what the service needs to do its job.
How long we keep it
We keep member information for as long as you are a member of the council and for a reasonable period afterward to honor legal, accounting, and trust-and-safety needs. When you leave the council, we deactivate your account and stop using your data to communicate with you. We retain session recordings and transcripts only for as long as needed to produce approved insights and historical records of the room, and we honor speaker-specific take-down requests for any approved content you previously cleared.
Your rights and choices
You can:
- Access the personal information we have about you.
- Correct or update information that is wrong or out of date (most of this you can edit yourself in your member profile).
- Ask us to delete your account and personal information, subject to retention we are legally required to keep.
- Withdraw consent for the publication of any insight or quote you previously approved, in which case we will remove it.
- Opt out of non-essential communications, while still receiving the operational messages (session invites, billing notices) that membership requires.
To exercise any of these rights, write to joshua@ourphoenixrising.com. If you are in a jurisdiction that grants additional rights (e.g., GDPR in the EU/UK, PIPEDA in Canada, the CPRA in California), you have those rights too, and we will honor them.
Security
We use reasonable and industry-standard safeguards to protect your information, including encrypted transport, access controls, and secure authentication via magic-link login. No system is perfectly secure, but we take the trust the council places in us seriously.
Children
The council is for adult founders, speakers, and leaders. We do not knowingly collect personal information from anyone under 18.
Recordings and AI processing - your consent
By accepting membership and attending council sessions, you acknowledge that sessions are recorded and that AI tools may process transcripts to produce candidate insights. You also acknowledge that nothing from a session is published outside the room without the relevant speaker's individual, explicit approval, and that you can withdraw approval at any time. International transfers
Some of our processors operate servers outside your country. By using the platform you understand your information may be transferred to, stored in, and processed in the United States and other jurisdictions where our processors operate. We rely on standard contractual protections where applicable.
Changes to this policy
We will update this policy as the platform evolves. Material changes will be communicated to members directly through email or the platform. The effective date at the top tells you when this version took effect.
